Automatic Access to University Software and Systems

The Office of Information Technology, with guidance from data and software/application owners, established automated processes to assign software/application access to users based on their role (faculty, staff, student, alumni, affiliate, etc.).

  • Note: This access is automatically removed when users depart from the university.

Employees, including faculty and staff, are assigned access to several applications essential for job responsibilities. Access to Banner is automatically granted based on an employee's position and department. If additional access is needed, the employee's supervisor can submit a request via the ERP access request form. Functional security managers, responsible for specific areas of Banner, review and approve such requests.

  • Note: Respective application stewards or data owners grant access permissions(e.g., the Office of the Registrar approves access to student data, not the OIT staff).

Faculty, including adjuncts, are granted access based on their employment contract dates; therefore, there may be delays based on contracts not being prepared, completed, or processed by Human Resources. For staff and faculty, access is revoked after their last day of employment. In recognition of the cyclical nature of their work, adjunct faculty members retain access for a grace period of 120 days. For temporary and contract employees, access is removed at the end of the day when their contract expires. To avoid disruption in system access, it is crucial to extend an employee's contract before it ends.

  • Note: Changes in an employee's role (such as transitioning from contract to full-time status) can impact their status. If an employee, including adjunct faculty and faculty, experiences a loss of access to systems, they should first verify with HR that they have a current employment contract.

OIT does not automatically grant additional Banner access to student workers. However, student worker supervisors may request additional access via the ERP access request form. All expanded banner access is revoked when a student worker's position is no longer active, including over summer break. To regain access, the student's supervisor must submit a new request after any break in employment.
