Data Suppliers
When making a data request, you will be asked to choose an area of the university to be responsible for supplying the requested information. Below is some information regarding the typical kinds of requests and information that each typically deals with:
Admission/Enrollment Management
Enrollment Management provides comprehensive data on geographic and demographic elements across the inquiry, recruitment, and admission functions. Our standard reports include funnel analytics, student profiles, point-in-time metrics, and related trends. Data requests on currently enrolled students fall outside our reporting scope and should be directed to the Office of the Registrar.
Advancement
The University Advancement Data Steward will provide data sets for all degreed alumni, former students, SEU High School graduates, and donors. These data sets may include demographic information, degree and major details, and donor-related data as an example. However, data sets for current students cannot be provided.
Finance (Account/Business Office)
Financial data (encompasses actual expenditures and revenues, budgeted expenses and revenues, encumbered expenses, and budget to actuals). Financial data could include net tuition and fees, scholarships and allowances, other revenues, total assets, total liabilities, net assets with and without donor restrictions, fixed assets by classification, current and long-term debt, functional expense categories, research and development expenditures, etc. Capital Spending data is defined as spending by year on new construction, major renovations, and large-scale capitalized maintenance. Financial statement information by specific periods (fiscal year end June 30, calendar December 31, quarterly, monthly, etc.). Financial data by fund, organization, account, program, activity, location (FOAPAL). Data regarding University Endowments, including balances as of a specific time period, spending allowances, unrealized gains, losses, and dividends and interest. General questions regarding operating surplus or deficits in a fiscal year or explanations for large variances from one year to the next (favorable or unfavorable); variance analysis. Restricted funds analysis for grants received by outside parties (Federal, State, Private), including total grant award, budget to actuals, drawdown schedule, and reconciliations to the general ledger. Transaction records, including invoices, receipts, and proof of payments. Compliance and tax filings, audit reports, and regulatory compliance documentation.
Financial Aid
Financial aid data encompasses FAFSA information as well as institutional, state, and federal grants, scholarships, and loans. Because this information is highly regulated, access is restricted to school officials with a legitimate educational interest. In general, data may only be utilized for the direct application, awarding, or administration of financial aid.
Human Resources
Human Resources provides headcount and demographic data for all employees—including staff, faculty, adjuncts, and student workers—to support university reporting, regulatory compliance, and grant applications.
IEP
IEP manages the institution’s official statistics for federal and other external reporting such as IPEDS and Common Data Set, and maintains the university’s Factbook. We provide aggregate data for official enrollment numbers, retention, graduation rates, and student demographics. IEP also provides data support for major advancement grants and manages university-wide dashboards. Note: For student-level data requests, please contact the Office of the Registrar.
Registrar
The Office of the Registrar provides operational data reports containing information on student enrollment, registration, academic standing, degree program, and credential status. These reports are typically delivered in .csv format to support internal institutional reporting needs.
This information constitutes protected student education records governed by the Family Educational Rights and Privacy Act (FERPA) and applicable federal, state, and university policies. Disclosure is restricted to authorized individuals with a legitimate educational interest to ensure student data confidentiality and appropriate use.
Student Accounts (Bursar)
The Student Accounts Office provides comprehensive data regarding the university’s accounts receivable, student financial obligations, and diverse payment methods and trends. This includes specialized data sets covering student billing, structured payment arrangements, and specific assessments such as car permits, housing and meal plan charges. Furthermore, the office maintains records on financial registration holds, university third party billing contracts, external scholarships, exemptions, remissions, and student enrollment in secondary programs like university-sponsored health insurance or GradGuard tuition protection. As a primary reporting unit, the office also manages high-level tax information, including mandatory 1098-T reporting to the IRS. Because the Bursar’s Office is responsible for sensitive and confidential financial information, all data reporting is governed by strict compliance with Federal, State, and University policies. Access to these records is strictly limited to authorized personnel who demonstrate a legitimate educational or business interest, ensuring the continued safeguarding of University assets. While the office provides extensive analytical reports on account balances and the recovery of payments, inquiries specifically regarding the application, awarding, or administration of institutional and federal financial aid should be directed to the Office of Financial Aid.
Student Success Center (SSC)
The SSC provides data on programs and initiatives housed within the SSC. This encompasses specific student support programs, including the Early Academic Alert program, online tutoring services (Brainfuse), and Supplemental Instruction (SI). Additionally, the SSC tracks Advanced Experiential Learning (AEL) participation and manages the distribution and collection of the First Destination Survey and Beyond the Hilltop Survey, which provides data on post-graduation outcomes at graduation, as well as at 6- and 12-month intervals. Please note that official university-wide statistics—including retention, graduation, and first-generation student data—fall under the purview of IEP, while enrollment and registration data requests should be directed to the Office of the Registrar.
