About Functional Administrators

Functional Administrators are administrators of IT systems and/or servers outside the Office of Information Technology (OIT). Functional administrators manage specific systems not under OIT control. Some of their responsibilities include (but are not limited to):

  • Follow vendor software functionality and product roadmaps. Communicate with EIS to ensure required functionality is incorporated into the software platform release upgrade.*
  • Coordinate the support and configuration of software applications and office systems to meet functional requirements (granting access, setting valid data fields, etc.)*
  • Prioritize product backlog requests with business users.
  • Provide support to end-users for business processes.
  • Provide documentation and training to end-users.
  • Assist in prioritizing functional requirements for system automation in collaboration with Information Technology staff.
  • Troubleshoot application and software product problems.
    • Report and track product defects to vendors.*
  • Communicate with OIT when functional activities affect deployment activities, like record setup.*
  • Coordinate security review(s) with the OIT Product Owner and OIT Technical Admin(s) when/if needed.*
  • Coordinate internal testing in coordination with established testing processes. Provide timely feedback to OIT or the project team when testing outcomes affect scheduling or release planning adjustments.
  • Troubleshoot application/software product problems.*
  • Coordinate with OIT to ensure baseline security practices are in place.
  • Serve as the vendor liaison.
  • Assign and train a backup.

*Denotes responsibilities necessitating Functional Area support and staffing for product maintenance support, even if SEU is not actively engaged in product development.

OIT aims to enable functional administrators to effectively fulfill their roles, ensuring their systems have confidentiality, integrity, and availability.

Supervisors of functional administrators can consult with OIT to ensure the effective fulfillment of functional administration tasks.
